Set a date and time for the party, taking into consideration the schedules of the graduates and their families.
Determine a budget for the party and decide on a venue, whether it be held at a home, a park, or a rental facility.
Find a rental tent that is the appropriate size for your guest list and has the necessary features, such as lighting, walls, flooring, etc.
Reserve the tent and other equipment well in advance of the party. We recommend no later than early April for June graduations.
Coordinate with the company on the setup and takedown of the rental tent and equipment.
Plan the layout of the tent, including the placement of tables, chairs, and other furniture.
Arrange for lighting and heating or cooling, if necessary, to keep the tent comfortable for guests.
Create a guest list and send out invitations.
Plan the party's menu and decorations, keeping in mind the theme or colors of the school or the graduating class.
Coordinate with caterers or vendors for food and drinks, and make sure they have the necessary equipment to set up and serve in the tent.
Arrange for entertainment, such as music or games.
Coordinate with any other parents or committee members to ensure all aspects of the party are covered.
