Graduation Party Planning

Below is a standard checklist to help you coordinate a fantastic graduation party this year. Although it’s graduation centered, this list can be used throw any kind great party!

  • Set a date and time for the party, taking into consideration the schedules of the graduates and their families.

  • Determine a budget for the party and decide on a venue, whether it be held at a home, a park, or a rental facility.

  • Find a rental tent that is the appropriate size for your guest list and has the necessary features, such as lighting, walls, flooring, etc.

  • Reserve the tent and other equipment well in advance of the party. We recommend no later than early April for June graduations.

  • Coordinate with the company on the setup and takedown of the rental tent and equipment.

  • Plan the layout of the tent, including the placement of tables, chairs, and other furniture.

  • Arrange for lighting and heating or cooling, if necessary, to keep the tent comfortable for guests.

  • Create a guest list and send out invitations.

  • Plan the party's menu and decorations, keeping in mind the theme or colors of the school or the graduating class.

  • Coordinate with caterers or vendors for food and drinks, and make sure they have the necessary equipment to set up and serve in the tent.

  • Arrange for entertainment, such as music or games.

  • Coordinate with any other parents or committee members to ensure all aspects of the party are covered.

  • Don't forget to order a cake or other desserts to celebrate the graduates' accomplishments.
